The Paperless Conference System is a modern conference interaction platform built on digital, networked, and intelligent technologies. Through the deep integration of hardware and software such as conference terminals, electronic table cards, and conference management platforms, it achieves paperless operation throughout the entire conference process. The system covers three stages: pre-conference preparation, in-conference interaction, and post-conference archiving. It supports core functions such as conference check-in, document distribution, file annotation, screen sharing, voting, service calls, and electronic whiteboards. It is suitable for efficient collaboration needs in government agencies, enterprises, education, healthcare, finance, law, and other fields, driving traditional conferences toward green, environmentally friendly, and intelligent development.

This system adopts a distributed architecture design. The server side is responsible for conference data management, permission control, and process scheduling, while the client side (conference terminals, electronic table cards) is responsible for user interaction and content presentation. The system supports mixed wired/wireless networking and cross-platform use of mainstream operating systems such as Windows, Android, HarmonyOS, Kylin, and UOS, with good compatibility and scalability.

Fully Digitalized Conference Process

  • Pre-conference: Conference creation, personnel invitation, document upload, and seat arrangement can be completed with one click; supports conference template reuse for quick creation of similar conferences;
  • In-conference: Check-in, browsing, annotation, screen sharing, voting, and service calls enable real-time interaction; supports agenda segment control with automatic document switching;
  • Post-conference: Document archiving, meeting minutes export, and data statistical analysis are automatically generated; supports conference recording playback and live streaming;

Multi-Terminal Collaborative Interaction

  • Supports various terminal forms including LCD lift terminals, desktop tablet terminals, electronic table cards, and lift-type double-sided table cards;
  • Supports cross-platform use of mainstream operating systems such as Windows, Android, HarmonyOS, Kylin, and UOS;
  • Supports mixed wired/wireless networking, POE power supply, adapter power supply, and battery power supply;
  • Terminals support dual-screen display (internal screen for operation + external screen for table card), with asynchronous display of different content on front and back screens;

Security and Confidentiality Mechanisms

  • Conference documents are distributed according to role permissions; unauthorized personnel cannot view unauthorized files, and files unrelated to the agenda are automatically hidden;
  • After the conference ends, local files on terminals are automatically cleared, with data shredding that cannot be recovered; the system returns to its original state after restart;
  • Supports hidden WiFi networks, MAC address filtering, WPA2/WPA3 encryption, and AES transmission encryption to prevent unauthorized access;
  • Supports advanced security strategies such as read-and-burn mode, anti-screenshot, anti-screen recording, and watermark tracking;
  • Supports confidential conference mode where documents cannot be viewed before the conference and all traces are forcibly cleared after the conference;

Intelligent Conference Control

  • The chairman terminal has centralized control permissions to uniformly manage the conference rhythm and switch all terminal interfaces with one click;
  • Supports agenda segment control with automatic document display switching according to the agenda; files not in the current agenda are automatically hidden;
  • Supports real-time access and screen sharing broadcasting of external signals (laptops, cameras, matrix signals, DVD);
  • Supports multi-screen split display (full screen, dual split, quad split) to flexibly adapt to different display needs;
  • Supports conference recording and live streaming, with support for third-party platform streaming;

User-Friendly Interaction Design

  • Capacitive touch screen supports 10-point touch with smooth operation and simple interface hierarchy;
  • Supports handwritten original penmanship annotation and circle-drawing of key points; annotation content can be saved and shared;

The default parameters for network connections in this system are as follows:

  • Default server IP address: 192.168.10.100
  • Default terminal access port: 8080
  • Default management backend address: http://192.168.10.100:8080/admin
  • Default administrator account: admin / admin123
